Carerix.releasenotes.io is going to stop.

Carerix is going to stop publishing its release notes via carerix.releasenotes.io. This also means that your two weekly update per e-mail is going to disappear.

Update: Carerix Release 5.0.197 - GDPR update (9): Consent as one of the legal grounds.

This two weekly Carerix release update is a pre-release note. We would like to give you more insights in upcoming changes and give you the opportunity and time to prepare/adapt to upcoming feature release. In two weeks from now this update will be live.

GDPR Update (9): changed label names.

To better fit the entire GDPR we have decided to change terminology in the Carerix system with regard to the new privacy legislation. We focussed - rightfully - to a large extend on the consent part of GDPR. However, consent is only one of the six legal grounds that are mentioned in the law. Therefore we made some changes.

The six grounds that may entitle you to store personal information in your database (or somewhere else) are:

  • Consent
  • Contractual necessity
  • Compliance with legal obligations
  • Vital interests
  • Public interest
  • Legitimate interests

To have them incorporated in the GDPR flow in Carerix we changed the field labels and all attached tranaltions from search lines to triggers.

What has changed exactly:

Field names (old/new):

  • Approval date / Legal ground set on
  • Consent period / Term
  • Consent status / Legal ground

Search lines & overview columns
Search lines and overview columns have changed according to the field name changes.

  • to search for the date the legal ground was registered, look for 'Legal ground set on' (was 'Date of consent')
  • to search for the legal ground, look for 'legal ground' (was 'consent status')
  • to search for the date the set term for the legal ground is going to expire, look for 'Expiration date of legal ground' (was 'Expiration date of consent')

Note: it is not possible to search for the 'Term' nor is it possible to have the term in the candidate overview.

Triggers
For triggers holds the same as for search lines and column headers: they changed according to the field label changes. They still can easily be found by searching for 'GDPR'.

All other GDPR related functionality is changed according to the translation changes.

Consent email Yes/No links improvements + Go Live

Over the last couple of weeks the first customers started to use the email templates to register (renewed) consent from candidates. We got some valuable feedback from you and also from the technique so we were able to tackle some issues in an early stage. What we have done:

  • Fixed a bug that happened occasionaly after clicking yes or no, resulting in an error message and no registration
  • Removed the double footer in the email template
  • Removed bold text 'Dear [first name]'
  • Made some textual changes in the templates itself and on the default landing page

Added bulk actions to set Legal Ground & term

To better enable you to monitor your candidates after asking them for their consent we have added to bulk actions in the candidate overview:

  • Set the legal ground for a group of candidates
  • Set the term for a group of candidates

Once you selected a group of candidates and send them the email asking for their consent, make sure you give them a corresponding legal ground + term. This way you can monitor easily who you asked for their consent and set a timer to receive their consent, so you can delete personal information on time. Want to save time and further automate this process? Use triggers to automatically change statuses of candidates and legal grounds!

Smaller improvements & bugfixes:

  • Fixed a bug in the configuration profiles that caused a read-only setting not being applied in the new wizard
  • Fixed an issue with the fti-update script causing the display of wrong characters in Greek language
  • Fixed an issue in configuration profiles with regard to show/not show panels on the profile tab of a job order

Visual consent indicator

To help notify you about the current consent status we added visuals to the candidate and match record. This will help you work faster with the right candidates or when working with candidates on a day to day basis


Report for consent history

To have a clear view who changed the consent related fields in a candidate record we added a report to show these changes. The Carerix admin can activate this report in the email template library.

It shows the logging of all historical changes.

Email templates Yes / No consent links (in pilot)

We received valuable feedback during the pilot. Our goal is to improve the functionality and to Go live for all customers in next release.
 
Asking and extending candidate consent can be a time consuming task. That's why we added email templates to our email library for you to make this job easier. Ask your Carerix administrator to activate them and adjust them to your needs.

Candidate clicks Yes or No and it will automatically update candidate consent status in your Carerix platform.

Smaller improvements

  • Sorting on Consent Status column in the candidate list will also show empty Consent Status
  • Improved merging Candidates for Consent fields:
    Case A: candidate 1 has values + candidate 2 has no values = values from candidate 1
    Case B: candidate 1 has no values + candidate 2 has values = Values from candidate 2
    Case C: candidate 1 has values + candidate 2 has values = Values from candidate 2
  • Consent email link works when candidate is also a contact
  • Setting a default Consent Status in Maintenance ->Tables will be used now when creating a new candidate

Email templates Yes / No consent links (in pilot)

Asking and extending candidate consent can be a time consuming task. That's why we added email templates to our email library for you to make this job easier. Ask your Carerix administrator to activate them and adjust them to your needs.

Hide sensitive searchlines

For GDPR or privacy reasons we are asked if it's possible to hide specific searchlines, like candidate salary or candidate age. Per today it's possible to hide searchlines via configuration profiles.

Thalento new integration

Since March 2017 Carerix users have the possibility to use the Thalento personality & motivation, cognitive & ability tests directly within the Carerix platform. Our Talent Solutions provide talent intelligence to attract the right people and motivate, manage and develop talents on their journey to a next career move.

The Carerix-Thalento integration resulted in more than 10 international customers. This success and the increased demand for more Thalento® Talent Solutions caused a logical step in the cooperation; a full integration of all our solutions in the Carerix platform.

Update: Carerix Release 5.0.194 - GDPR update (6): added trigger actions and added consent information to match, improved German translations

Improved German translations

The German translations of the user interface have been evaluated and updated. If you are using the German interface you might encounter some changes. Custom translated items will not be affected.

GDPR:

New Trigger actions

In release 194 two trigger events will be added that might highly attribute to your GDPR processes:

1. Added a trigger action to set consent status

This trigger action will allow you to change the consent status based on a particular event in your database. For example: if candidate status is changed into X or match stage is set to Y than set consent status to Z.

2. Added a trigger action to set consent date on current date (today)

This trigger action can automate the setting of the approval date based on an event in Carerix and may help you in further automate your GDPR processes. For example: if you have certain events that call for an update of the consent date, one will be able to do so. It offers a higher level of flexibility to implement different ways and interpretations of 'consent given events'. Please note that you can always been asked to prove that the candidate explicitly has given the consent. Therefore caution with using this trigger action is advised.

Added consent status and expiry date to hints panel in Candidate & Match files:

In order to have immediate insight in the consent status and the expiration of the consent (if given) we have added this information in the hint panels of the candidate and match file next to the creation and modification date.

Textkernel Search! - multilingual synonyms automatically ticked!

Textkernel Search for several years is one of our most beloved add-ons because it enables you to search over multiple sources in one go. Rightfully we got the question why the multilingual synonyms were not ticked by default, so we decided to change this. From release 193 all multilingual synonyms will be ticked right away. In this way we make sure that you get the best international candidates in your search result!

Bulk email & Send list functionality - update to meet security demands

Until today using the send list or bulk email functionality in Carerix - e.g. to present multiple candidates to multiple contacts - one could easily change the sending email address into an email address of one of their peers. As this does no longer meet our security standards, this functionality is added to our user role permissions structure. This means that one is only able to select others email address in case their permissions for email creation are allowing them to.

The create permissions of the user role determine what the users options are within the send list functionality:

- None: a user will not be able to send any email - the functionality will be disabled for the particular users with this user role

- Owner: a user will be able to select only those users they are the owner of in the Carerix system as a sender. In practice only (light)admins can be the owner of a user.

- Office: a user will be able to select all users that belong to the same office as a sender.

- All: a user will be able to select all users in the Carerix system as a sender.

Added the user menu to configuration profiles

In release 192 we announced that the my profile section was added to the configuration profile, in release 193 also the user menu is added. Now it is possible to restrict (hide or set read only) some fields in the user chart. This further secures the possibility to give users light admin roles without having to give them full rights on the user files.

Improved Process flow for Task Templates

With task templates together with triggers you are able to create workflows in which task creation can be automated. Due to its origin Tasks that are automatically created always are created with the owner equal to the owner of the file the created task is related to.

With a small adjustment we added the option to the task template to choose whether you want the automatically created task to have the owner equal to the file it is related to or equal to the owner as is specified in the task template. With this change it also is possible to have flows in which the task owner will always be the same person.



GDPR (5) - Added trigger events and adjustments for anonymisation tool

Anonymisation tool

For quite a while already we offer the possibility to anonymize candidate records in you Carerix system. As for security reasons it is not always desired that anyone in the system has access to the tool we added the option to the user role to disable the tool for a user role. In this way you are better able to distinguish different types of users and protect your database against human error or sabotage. Unticking the checkbox in the user role will disable all anonimysation options for the particular user role: the button in the candidate file and the (bulk) action...-menu item.

Triggers:

Added event: 'GDPR: consent status is set to...'

With this trigger event it will be possible to automatically change information in the system upon the change of the status. For next release we will complete the set of triggers with trigger actions for setting the consent stage and setting the date of consent upon several trigger events.

Added 'My Account' to the configuration profiles

By adding 'My account' to the configuration profile you can setup which fields are editable by a user him/herself. All fields can be set hidden or read-only. In this way it is possible to restrict a user to change (part of) the personal information that is stored in his/her user profile.

General Data Protection Regulation - part 2

On the 25th of May 2018 the General Data Protection Regulation will be enforced. Apart from technological improvements to even better secure the personal data in our databases, we also strive to give you out-of-the-box tooling that will help you to fulfill your duties. After introducing the consent status two weeks ago, we now bring to you the Consent Period table.

Consent Period & Consent Expiry date

Within the framwork of GDPR different periods of consent apply. By law it can be required to save certain information for a longer period of time than agreed with a candidate when s/he was entered in the database. For example: if a candidate is employed by your organisation.

To be able to handle and maintain different periods for consent it will be possible to adapt this period of time (1 month, 3 months, 6 months, 1 year, 2, 3, 5 & 7 years). The consent period will determine an expiry date, which will be displayed in your candidate profile. This expiry date in the future can be used to automate your GDPR process with triggers. It will be possible, for example, to send an automated message to the responsible recruiter that the consent of a candidate is about to expire.

Consent Status & Approval date available for search and displayed in overviews

The approval date and consent status as have been added to Carerix in release 189 from release 190 will be available to search on and will be displayed in the overviews for quick insights. One in this way easily can filter on candidates that have a revoked or expired consent status and handle accordingly

Update WordPress Plugin

We updated the wordpress plugin so it works with the consent date and consent status.

- Added the possibility to add a checkbox to let candidates indicate they have read and accepted your privacy policy. Not checking the box results in an inactive apply button.

- Added the possibility to add a link to your privacy statement next to the checkbox

- Ticking the box results in inserting the consent date (today) and setting the consent status to 'Consent Given'.

Refer to your application form settings in your WordPress website to see how to add the checkbox and your privacy policy.

Carerix Social Browser: added support for VDAB

As announced late December per today the Carerix Social Browser - previously known as cxLinkedIn Browser - will be able to recognize candidate profiles on vdab.be. It will bring the same functionality as you know for LinkedIn & Xing:

- Recognize candidates in your database and show recent information on matches, notes, creation date, owner/responsible recruiter etc.

- Add candidates/contacts to your database (if allowed by system settings)

- Match candidates from VDAB on existing open job orders

- Add notes to candidates/contacts

Additionally it is possible to import the competences as are available on the respective tab. To do so one has to open this tab before saving the candidate to Carerix.

Note: Due to its nature and architecture it is not possible to store a direct link (url) to the profile page in Carerix. In stead we save the reference number. This unique ID will enable Carerix to recognize candidate profiles. The ID will be stored in an additional information field. To activate this field the system admin has to reactivate the plugin from the settings menu.

Update: Carerix Release 5.0.189 - General Data Protection Regulation

This two weekly Carerix release update is a pre-release note. We would like to give you more insights in upcoming changes and give you the opportunity and time to prepare/adapt to upcoming feature releases, updates and bug fixes. In two weeks from now this update will be live. In this Carerix Release (5.0.189) the following updates are included:

General data protection regulation

On the 25th of May 2018 the General Data Protection Regulation will be enforced. Apart from technological improvements to even better secure the personal data in our databases, we also strive to give you out-of-the-box tooling that will help you to fulfill your duties.

Consent status

To have privacy settings enabled please go to Settings --> Privacy and switch on the setting usePrivacyRestrictions by changing NO to YES.

In this update we will introduce the consent status field. In 90% of the cases you will need personal consent of a candidate as a legal base for storage of personal data. To monitor your candidates consent we added new status fields in the candidate records so you will be able to register its consent status.

The consent status field is available in the configuration profiles like the approval date. If needed or wanted it is possible to make the fields read-only or hide them from the interface for all or some users/user roles.

Disable automatic photo upload with Carerix Socialbrowser

Under GDPR law conditions for being allowed to save personal information are strengthened. Legal basis and goals to save personal information should be clear and present at any time. Pictures of people are considered a piece of sensitive personal data as race, origin, religion and appearance can be derived from it. Storage of sensistive personal data is subject to even stricter rules. Therefore, you might consider the storage of candidate pictures (in the sourcing stage) unwanted and unnecessary. Carerix offers the tools to import candidate data from LinkedIn and Xing profiles for some years already. Pictures have been part of the parsing since the beginning. Within the concept of privacy by design/privacy by default Carerix now offers the opportunity to exclude the profile picture from the candidate creation process.

If you want to switch off the photo upload:

1. as an admin go to your system settings

2. look for the Socialbrowser Linkedin/Xing panel

3. set the 'disablePhotoUpload'-setting to YES

4. save the settings and refresh the page/relogin to let the changes take effect


What else can you expect from Carerix with regard to GDPR

In the upcoming weeks and months we will update the system with other feature updates that together with the date and status of consent will provide you with a set of tools that will help you monitoring the status of the consent and if the consent is about to expire, revoked or renewed. Next to that we will offer tooling to allign interfacing software like your website, with this new funcionality.

Additional offices - create & delete permissions

If you are using the option to link users to more than one office, you might have wondered why you were only able to see (read) and change files that originate from other offices than the main office the user was linked to. We do not want to bother you with a long technological story, but just wanted to tell that it now is also possible create and delete files that belong to one of the extra offices a user is linked to!
